Finding Journalists

Read time 7 min Level Beginner Prerequisites An active Buzzscribed login; a Story with a written brief for Smart Match to read
In a nutshell: Buzzscribed grows your coverage through two powerful, complementary mechanisms. Country Packs widen your CRM pool a region at a time, bringing thousands of vetted journalists and outlets into reach. Smart Match reads the Story you are pitching and ranks journalists from that pool by topic fit and prior engagement -- so every Story goes to the right people. Activate the packs that fit your markets, run Smart Match on every Story, and the pool plus the AI do the legwork.

What you will learn

  • The two mechanisms Buzzscribed gives you for finding journalists: Country Packs and Smart Match.
  • What a Country Pack is, where to activate one, and what activating one unlocks.
  • How Smart Match analyses a Story and ranks journalists from your pool by topic fit and engagement.
  • How email enrichment keeps the pool clean as it grows.

The mental model

Two complementary mechanisms power discovery. Acme PR Corp activates the UK Country Pack and runs Smart Match on every Story -- including the Globex Wellbeing Index 2026.

The mechanisms:

  • Pool -- the journalists in your CRM. Country Packs widen the pool a region at a time, bringing curated outlets and contacts in reach.
  • Selection -- the right journalists for a specific Story. Smart Match reads the Story's brief, identifies its topics, and ranks journalists from your pool by topic fit and engagement.

Together they cover the full discovery loop: stock the shelves with Country Packs, pick for this recipe with Smart Match. Activate the packs for the markets you work in, let Smart Match surface the right names on every Story.

Country Packs

A Country Pack is a curated journalist and outlet pool for a country, ready to bring into your CRM with a single activation. Manage packs on the Media Outlets page (PITCH menu) > ADMIN tab > Country Packs sub-tab.

The sub-tab carries a KPI bar (active packs, outlets in reach, journalists available, imported to CRM), your currently active packs, and an Expand Your Reach section listing packs you can still add. Activating a region:

  • Makes that region's outlets and journalists searchable in your CRM on the SEARCH tab.
  • Feeds Smart Match -- so Story-to-journalist matching has more relevant journalists to choose from.
  • Powers pitch recommendations on Email Pitching.

Activated journalists join TOP CONTACTS once engagement is recorded against them -- pitches, calls or logged coverage. The leaderboard reflects recorded relationships, so it stays useful as the pool grows.

Smart Match

Smart Match runs inside Email Pitching on the SEARCH & SEND step. The contact-source picker offers three routes -- saved Contact Group, media-database Search, or Smart Match. Choose Smart Match and Buzzscribed:

  1. Analyses your Story's content (the AI extracts topics from the brief, the release, the bullets).
  2. Ranks journalists from your CRM pool by relevance to those topics, blended with engagement signal -- article count, recency, breadth of topic coverage, prior placements, interviews and opens.
  3. Loads the ranked list into a selectable grid for you to review.

You can re-analyse the topics and re-run the match at any time -- useful if the angle shifts during pitch planning. Smart Match runs over the journalists already in your pool, so the better your Country Packs cover your markets, the richer the match.

The research practice that lifts every pitch

Country Packs widen the pool. Smart Match ranks it. But the targeting that wins coverage is the human research layer on top -- reading what a journalist actually writes before pitching them. Three habits that lift every campaign:

  • Read their last five articles. Thirty seconds per byline reveals the beat, the angle, the sources they quote, the editorial register. Smart Match will surface relevant journalists; the read tells you which ones fit your specific Story.
  • Identify the beat from the bylines, not the job title. A "Senior Reporter" at the FT may cover one of a dozen topics. The bylines tell you which. Smart Match uses the article topics for ranking; your read confirms or corrects the match.
  • Note the personalisation hook. One sentence from their last piece that connects to your angle. "Your March feature on hybrid-working churn framed exactly the angle this research opens up..." This is the line that gets the email opened.

Tiering journalists for a pitch

Industry convention runs to a four-tier model that fits inside Buzzscribed's outlet tier field (1-4):

  • Tier 1 -- national news (BBC, broadsheet print, the major broadcasters). The headline targets for a major launch; the journalists who set the agenda.
  • Tier 2 -- trade-press leaders, business news, major regional dailies. Often where the depth coverage lives.
  • Tier 3 -- specialist trade, sector-specific blogs, regional weeklies. The long-tail and the share-of-voice.
  • Tier 4 -- aggregators, niche newsletters, smaller community press. Useful for SEO-driven syndication.

A balanced pitch wave hits all four tiers in sequence: tier 1 with the embargo on launch eve, tier 2 on day one for depth, tier 3 over the following week for the long tail, tier 4 by republishing the NewsWire link. Smart Match plus the SEARCH & SEND tier filter in Email Pitching lets you build the wave fast without flattening the discipline.

Email enrichment: keeping the pool clean as it grows

Buzzscribed quietly enriches contact data -- chiefly filling in and verifying journalist email addresses -- through a background enrichment pipeline. Activate a Country Pack and enrichment keeps verifying email addresses in your pool over time, so the journalists Smart Match recommends are reachable. Quality compounds as the pool grows.

Try this: Open Media Outlets > ADMIN > Country Packs and check which regions are active versus available. Activate one new pack covering a market you are growing into. Now open Email Pitching, pick a live Story, choose Smart Match as the contact source on SEARCH & SEND, and run Find Matches. Read the ranked list -- the journalists at the top are the ones Buzzscribed reckons are best matched to this Story's topics from your now-expanded pool.

Frequently asked

How does Buzzscribed grow my journalist pool?
Country Packs. Each pack is a curated journalist and outlet pool for a country, activated from Media Outlets > ADMIN > Country Packs. The journalists become searchable in your CRM, feed Smart Match, and power pitch recommendations.
Where do I activate a Country Pack?
Media Outlets > ADMIN tab > Country Packs sub-tab. Activate a region from the Expand Your Reach list.
How does Smart Match decide who to recommend?
It reads the Story's content to identify topics, then ranks journalists from your pool by topic fit and engagement -- article count, recency, breadth of topic coverage, prior placements, interviews and opens. Re-run it any time the angle shifts.
Why do not all the newly activated journalists show up in TOP CONTACTS?
TOP CONTACTS is an engagement leaderboard -- it ranks contacts that have been engaged with. Activating a Country Pack widens the reachable pool; engagement (pitches, calls, logged coverage) populates the leaderboard as it accrues.
Does email enrichment find new journalists?
Email enrichment fills in and verifies email addresses on the contacts you already have -- the quality layer that keeps your pool reachable. For new journalists, Country Packs are the discovery mechanism.
Do I need Admin rights to use Country Packs or Smart Match?
CRM management is open to all roles -- Media Outlets > ADMIN > Country Packs and Smart Match in Email Pitching are available to everyone.
